Meeting Room Hire

 

We offer a conference/meeting room for organisations to hold training sessions, meetings or conferences.

There are facilities for making refreshments and there is an accessible toilet next to the room.


Bury St Edmunds Volunteer Centre is based at 86 Whiting Street, Bury St Edmunds, in the centre of the historic town.

 

The whole of the building and garden is designated a non-smoking area.

 

There is on street parking around the centre, which is pay and display (maximum 2 hours), or there are car parks at the Arc Shopping Centre (short stay), behind the cinema in Parkway or Ram Meadow, Cotton Lane, which offer all day parking.

 

The Bury St Edmunds Volunteer Centre is a registered charity and company limited by guarantee, and is pleased to offer its facilities to both voluntary and statutory organisations.

 

Revenue earned from letting the facilities will be used to support the Volunteer Centre’s charitable aims and objectives.

 

The Bury St Edmunds Volunteer Centre can offer Interactive whiteboard facilities, overhead projector, screen, flip chart, television/dvd/video combo. Other resources could be made available by prior arrangement and may be subject to additional charge.

Room is equipped with an Interactive Whiteboard,  Overhead Projector and Flip Chart

 

Other charges:-

·        Unlimited tea/coffee  £1.80 per person

·        Photocopying – 20p per copy

·        TV/Video can be pre booked in advance at a charge of £10.00 per hiring

 All the above charges include VAT at the current rate.

There are a number of catering companies that can provide your food requirements and will deliver to the venue. Details are available from the office on request



 

TERMS AND CONDITIONS OF HIRE.

Of

86 Whiting Street, Bury St Edmunds, Suffolk IP33 1NX

 

 

1.      The Hirer will, during the period of hiring, be responsible for the supervision of the premises, the fabric and the contents, safety from damage however slight or change of any sort and the behaviour of all persons using the premises whatever their capacity.

 

2.      The hirer shall not sub-hire or use the premises or allow the premises to be used for any unlawful purpose or in any unlawful way nor do anything to bring onto the premises anything, which may endanger the same or any insurance policies in respect thereof.

 

3.      The Hirer shall comply with all conditions and regulations made in respect of the premises by the Fire Authority, Local Authority or otherwise. The Hirer shall be responsible for bringing to attention fire action arrangements. No additional electricity supply is allowed to be cabled from one room to another.

 

4.      If the Hirer wishes to cancel the booking before the date of the event Bury St Edmunds Volunteer Centre shall, at their discretion, retain or repay any deposit made with the booking.

 

5.      At the end of the hiring, the Hirer shall be responsible for leaving the premises in a clean and tidy condition, properly locked and secured unless directed otherwise. Contents removed temporarily from their usual positions shall be replaced.

 

6.      Bury St Edmunds Volunteer Centre reserve the right to cancel this hiring in the event that any of the terms are breached.

 

7.      In the event of 86 Whiting Street or any part thereof being rendered unfit for use for which it was hired, Bury St Edmunds Volunteer Centre shall not be liable to the Hirer for any resulting loss or damage whatsoever.

SCHEDULE OF SPECIAL CONDITIONS

 

  1. Time – when stating hours for which the premises are required, allowance must be made for preparation of premises prior to the commencement of the Hiring.

 

  1. Nuisance noise – the Hirer must ensure not to use the premises or any part of them for any of the following, nor allow anyone else to do so:

 

Activities which are dangerous, offensive, noxious, noisome, illegal or which are or may become a nuisance or annoyance to Bury St Edmunds Volunteer Centre or to the owners or occupiers of any neighbouring property.

 

  1. Disputes – in the case of disputes the decision of Bury St Edmunds Volunteer Centre’s representative shall be final at the time of the incident. Further action can be taken via our complaints procedure.

 

  1. Right of Intervention -  Bury St Edmunds Volunteer Centre reserve the right through its representative to intervene in any proceeding being carried on in the premises if it is considered that these conditions of letting are not being complied with, and the said representative is authorised to take steps to clear the premises if they consider it to be necessary. Bury St Edmunds Volunteer Centre has the right of entry to all parts of the premises at all times.

 

  1. Intoxicating liquor – must not be sold on the premises. Consumption of alcoholic liquor is allowed only with written permission.

 

  1. Smoking – is not allowed. The whole building and garden is designated a NO SMOKING area.

 

  1. Cleaning – if Bury St Edmunds Volunteer Centre considers that specialist cleaning will be required after the hiring the charge for this will be passed onto the Hirers.

 

  1. Freezing and Chilling – Bury St Edmunds Volunteer Centre does not provide any form of freezing and chilling facilities.

 

  1. Electrical Equipment – the Hirer must ensure that all electrical equipment brought in by them to be used on the premises must be inspected as safe. Bury St Edmunds Volunteer Centre does not accept any responsibility or liability for the safety of the electrical equipment used on the premises not owned by the Centre.

 

On signing this document the Hirers agree to abide by the above Terms and Conditions of Hire.
